1. About this Policy

This Privacy Policy describes how [Legal Entity Name] ("Absorption Pro," "we," "us") collects, uses, stores, and shares information when you use the Absorption Pro service (the "Service"). We designed the Service for licensed real estate professionals; this Policy reflects the back-office nature of that work.

For purposes of this Policy, "Listing Data Provider" means the listing service, association, board, or other organization from which you receive authorized access to listing data — including, without limitation, any Multiple Listing Service or comparable data source. "Listing Data" means the listing records, status histories, and related fields you receive from your Listing Data Provider.

2. What We Collect

Account information

When you create an account, we collect your name, email address, Listing Data Provider membership identifier, real estate license number, and the brokerage with which you are affiliated. We use this information to verify your eligibility, to communicate with you about the Service, and to comply with vendor authorization requirements.

Cohort definitions and User Content

When you use the Service, we store the cohort definitions you create, the listings included in those cohorts, your notes and annotations, and any output the Service generates on your behalf. This is your professional work product; we treat it accordingly.

Listing Data

The Service ingests Listing Data from your Listing Data Provider via an authorized API feed scoped to your membership. We store this data in order to compute daily state changes and surface analytics to you. We do not display this data to consumers, redistribute it, or share it with other Users or third parties, except as required by your Listing Data Provider or applicable law.

Usage and technical information

We collect routine technical information when you use the Service — IP address, browser and device type, pages viewed, and timestamps — for security, troubleshooting, and product improvement. We do not use this information for advertising or tracking across other websites.

3. How We Use Information

  • To provide, maintain, and improve the Service;
  • To verify your eligibility and comply with Listing Data Provider rules;
  • To communicate with you about the Service, including updates and security notices;
  • To detect, investigate, and prevent fraud, abuse, or violations of these Terms;
  • To comply with legal obligations.

We do not use your User Content or Listing Data to train any general-purpose machine learning model. We do not sell your information.

4. How We Share Information

We share information only in these limited circumstances:

  • Service providers. We use third-party vendors for hosting, email delivery, error monitoring, and analytics. These vendors process information on our behalf under written agreements that restrict their use of the information to providing services to us.
  • Your Listing Data Provider. If your Listing Data Provider requests information about your use of the Service in connection with their authorization of Absorption Pro as a vendor, we will provide it as required by our vendor agreement.
  • Legal compliance. We may disclose information when required by law, court order, or to protect the rights, property, or safety of Absorption Pro, our Users, or the public.
  • Business transfer. If Absorption Pro is acquired or merges with another entity, your information may be transferred as part of that transaction, subject to the protections of this Policy.

5. Data Security

We use commercially reasonable administrative, technical, and physical safeguards to protect information against unauthorized access, alteration, disclosure, or destruction. No method of transmission over the Internet or electronic storage is perfectly secure; we cannot guarantee absolute security.

6. Data Retention

We retain account information and User Content for as long as your account is active. When you terminate your account, we delete or anonymize your User Content within thirty (30) days, except where we are required to retain it longer to comply with legal obligations, resolve disputes, or enforce our agreements. Listing Data is retained and deleted in accordance with our agreement with your Listing Data Provider.

7. Your Choices

You may, at any time:

  • Access, update, or correct your account information through the Service;
  • Export your cohort definitions and notes;
  • Terminate your account by contacting us;
  • Opt out of non-essential email communications.

Depending on where you live, you may have additional rights under applicable privacy law — for example, the right to request a copy of the personal information we hold about you, or to request deletion. To exercise these rights, contact us at the address in Section 10.

8. Children

The Service is not directed to children under eighteen (18). We do not knowingly collect information from children under eighteen. If you believe we have collected information from a child, please contact us and we will delete it.

9. Changes to This Policy

We may update this Policy from time to time. Material changes will be communicated by email or through the Service at least thirty (30) days before they take effect.
